Overview

The Manager of Lease Administration is responsible for directing all activities associated with the documentation and management of the organization's real estate portfolio. This position oversees the entire documentation process that follows company policy while ensuring compliance with all regulatory and legal requirements, and policies and processes that govern the lease. This position will provide management, coordination and administrative oversight of the Real Estate Lease Administration team and Lease Information Systems. This leader is responsible for managing the lease negotiation process and execution of all real estate leasing activities including lease renewals, new clinic leases and any other related lease amendment activity.


Responsibilities

  • Responsible for lease administration, including proper documentation of all leases and lease-related correspondence; accurate, efficient, and complete lease abstraction in the lease management database environment, data management and tracking and of approximately 900 leases.
  • Responsible for overseeing property management functions and processing of routine ancillary documentation (Estoppels, SNDA's, Amendments) and routine performance of lease and data audits related to CAM, tax and other lease provision audits (exclusives, co-tenancy, or company acquisition activities).
  • Responsible for lease documentation, profiling, and administrative oversight for liens, violations, certifications, licenses, final waiver collection and TI requisitions
  • Manage the new clinic lease management process and post approval pipeline lease administration milestones
  • Develop and distribute reports and presentations to key partners to ensure compliance and tracking to all lease critical dates
  • Support management and due diligence of transactions within Real Estate's Merger and Acquisitions team. Oversee the coordination of initial service implementation for newly acquired locations
  • Work with Real Estate Leasing functions related to the renewals of leases and oversee lease negotiation process including management of outside counsel for all lease related projects.
  • Responsible for quality control of all lease administration related process flow, lease abstraction, data accuracy, management reporting, billing, and collections, and driving process improvements from a lease administration perspective, including preparing, implementing, and auditing policies and procedures.
  • Facilitate completion of ancillary documentation (ie Possession Letters, Commencement Date Agreements, SNDA/Estoppels, Landlord Change Notices, etc.).
  • Facilitate all processes and documentation related to clinic closures.
  • Develop creative solutions and reporting to manage the Company's lease portfolio in Real Estate Information Systems.
  • Develop and maintains real estate lease management program with periodic reconciliation of data.
  • Provides technical oversight and guidance to support staff assigned to support the Real Estate Information Systems.
  • Oversees and audits data administration in Real Estate Information Systems.
  • Negotiates contracts with and oversees national vendors for the Real Estate and Facilities Department
  • Conducts performance reviews and manages human resource decisions such as hiring, promotions and disciplinary actions.

Qualifications

Required Education:

  • Bachelor's degree in real estate, business, or related discipline

Required Experience:

  • 5-7 years of real estate lease administration and facilities management experience, including contract negotiations
  • At least 3 years of management experience
  • Proficient in MS Office applications, especially Excel and PowerPoint, knowledge of APEX or similar lease administration software
  • Excellent communicator, strategic thinker and collaborative team player

Preferred Experience:

  • Paralegal experience strongly preferred.
