Job Summary:

The Executive Assistant role provides critical support to the SVP, Business Solutions and carries out administrative functions effectively and efficiently. Work independently, as well as part of a team, to perform a variety of confidential administrative duties for the Business Solutions organization, and the Business Solutions Leadership team. The role requires comprehensive experience, knowledge of administrative responsibilities and a broad understanding of company policies and procedures.


  • Handle routine administrative questions, tasks and general office support requiring the use of independent judgment.
  • Schedule appointments and maintain the calendar/contacts of the SVP, Business Solutions.
  • Manage and monitor the status of action items for the SVP, Business Solutions, his direct reports and support staff.
  • Coordinate arrangements for presentations, special projects, luncheons, meetings, customer events, and travel using Concur.
  • Analyze and resolve office administrative and procedural problems, perform basic research and prepare reports and recommendations.
  • Use of personal computer and standard software (MS Office) to draft, prepare, revise, and polish documents (reports, graphic presentations, spreadsheets, internal/external correspondence, merge documents, tables, payment requests, expense reports, organization charts, etc.).
  • Utilize MS Outlook, voicemail, and/or e-mail for distribution of information.
  • Organize own work, coordinate projects, set priorities, meet deadlines and follow up on assignments with minimal direction.
  • Use interpersonal skills, initiative and independent sound judgment within established policy and procedural guidelines when completing duties and responsibilities.
  • Support department and company employees in related teams, committees, and organizations to accomplish special projects, company, and department goals.
  • Process invoices and employee expense reports in SAP.
  • Schedule conference rooms and order office supplies and office equipment.
  • Assist with coordination of office moves, system access, and telephone changes which includes completion and submittal of appropriate paperwork and forms.
  • Assist with the On-boarding process for new hires.
  • Assist in tracking monetary expenditure for all hardware and software requests.
  • Perform other duties as assigned.

Minimum Requirements

  • High School diploma or GED equivalent
  • Minimum of Five (5) years or more of progressive office experience as an administrative assistant or similar support role
  • Proficient in MS Office (Outlook, Word, Excel, & PowerPoint)

Preferred Qualifications

  • Two (2) years Associate's degree from an accredited college or university
  • Certified Administrative Professional (IAAP)
