The Office Administrator position provides leadership and coordination as well as supports the administrative needs of senior leaders at the site. As a customer-service oriented professional, responsibilities include creating a welcoming environment for visitors, including customers and vendors, as well as employees. Other responsibilities include maintaining office services by organizing office operation and procedures; as well as general facility duties, centered on general oversite of day-to-day operations. This role will also assist Corporate Facilities Manager on various projects, including maintenance and tracking of facility occupancy, headcount, and floor plans. The Office Administrator performs and coordinates a wide variety of complex administrative duties, while providing high-level administrative duties for IT leaders, including coordination of special projects, and additional admin work for other IT members.

Duties include:

  • Provides full site coordination to ensure productivity and engagement of employees and visitors. Duties include but are not limited to: welcome and sign in visitors; answer phones; sign for deliveries and packages; process labels for outgoing packages; meter outgoing mail; manage Outlook calendars for conference rooms and schedule recurring meetings; assists with large meeting coordination (s).
  • Responsible for the completion of assignments and/or projects assigned by IT leaders that include tasks of a non-routine and non-repetitive nature, including but not limited to special projects, travel, expense reports, coordination of IT Leadership meetings and town halls, scheduling of vendor meetings, assistance organizing IT contacts, and general follow-up with all of IT staff (for training, etc.). Requires extensive knowledge of company procedures and practices, which include a broad scope of confidential and proprietary information.
  • Assist Corporate Facilities Manager with maintaining three facilities, including tracking spreadsheets, issues and reports for building and workplaces; focus includes, but is not limited to facility occupancy, floor plans, and overall maintenance at three facilities.
  • Order and stock supplies; receive and distribute employee mail
  • Handle service requests for catering, meetings, temp control, maintenance, janitorial, etc.; maintain overall kitchen cleanliness, and monitor supplies
  • Plan and organize monthly celebrations; participate in corporate community events
  • Other duties as required for the smooth operation of the department and the facility

Requirements include:

  • High School Education
  • 5 to 10 years of administrative or facilities background, including progressively responsible administrative experience
  • Excellent communication and customer service skills
  • High level of resourcefulness with knowledge of company operations
  • Strong interpersonal skills; ability to interact with people at all levels both inside and outside of the company.
  • Advanced Word, Excel, PowerPoint and Outlook skills.
  • Experience in coordinating extensive travel arrangements (domestic and international) and calendaring/scheduling.
