Job Description Summary

Responsible for supporting all functions of the Creative Arts' Public Programs and assisting with the completion of departmental assignments and initiatives. Assists with the planning and execution of program activities.

Job Responsibilities

ESSENTIAL FUNCTIONS

  • Manages the day-to-day front office activities of the Public Programs Creative Arts team

  • Assists in the completion of departmental assignments and initiatives

  • Serves as initial point of contact for inquiries and applications

  • Assists in the data collection for preparation of reports

  • Maintains updated content on social media, departmental websites, and the K-Web

  • Prepares and disperses departmental communications for emails and marketing purposes

  • Provides educational outreach regarding Vocal Ed Days, DownBeat Educational Days, Master Class/Workshops, Public Programs Student Liaison, etc.

  • Maintains updated audience, membership, and educators mailing lists and emails

  • Coordinates monthly JazzFest and Tri-C Presents email blasts, and provides information for the Creative Arts weekly email blast

  • Serves as the primary liaison for the Kulas Foundation Student & Campus Ticket Program

  • Serves as the primary liaison for the joint use agreements ticket programs with Cleveland Museum of Art, Playhouse Square, Great Lakes Theatre, etc.

  • Assists with the preparations and student recruitment for the Jazz prep Academy and Camp

  • Maintains an efficient program filing system

  • Manages inventory of departmental property, supplies and office equipment and process orders efficiently as needed

  • Greets visitors and prospective participants, responds to requests for information, places and receives phone calls, and handles mail

  • Organizes office bulletin boards and office space

  • Serves as information liaison for staff, faculty, administrators and external partners

  • Contributes to bi-weekly and monthly reports

  • Performs other duties as assigned

    Required Qualifications

    REQUIRED QUALIFICATIONS

    EDUCATION AND EXPERIENCE/TRAINING

  • Associate's Degree

    o Significant related experience may substitute for education

  • Minimum of two years of demonstrated office or program support experience

  • Demonstrated experience making sound decisions that affect a work unit or team

  • Demonstrated experience in a role requiring diverse problem solving methods in a variety of situations

    KNOWLEDGE, SKILLS and ABILITIES

  • Possess basic knowledge of administrative support concepts, practices and procedures and ability to use in varied situations

  • Possess basic-level proficiency with Microsoft Outlook, Word, Excel, and PowerPoint

  • Ability to effectively complete work assignments independently

  • Ability to work accurately with great attention to detail

  • Possess excellent written, verbal and interpersonal communication skills

  • Ability to prioritize/handle multiple tasks and work within deadlines in a dynamic environment with limited supervision

  • Ability to work a flexible schedule to accommodate departmental needs as direct

  • Ability to confidentially and discreetly handle subject matters requiring privacy and sensitivity

  • Ability to develop and maintain relationships with key contacts to enhance work flow and quality

  • Possess sensitivity to respond appropriately to the needs of a diverse population
