Under direction, the Development Assistant:

  • is responsible for donation processing and managing donor databases, giving pages, and mailing lists.
  • provides special event management support and general administrative support to the Development department
  • manages volunteers
  • supports grant writing efforts


Education, Training, and/or Experience:

  • Bachelor's degree;
  • A minimum of one (1) year experience with a charity or nonprofit;
  • Proficiency using Microsoft Office (Excel, Outlook, PowerPoint and Word);
  • Proficiency with Internet navigation;
  • Knowledge of donor management software (Raiser's Edge preferred); or
  • An equivalent of education, training and experience.

Certifications, Licenses, Registrations:

  • Must have and maintain a valid Ohio Driver's License, appropriate driving record, and appropriate insurance coverage at all times (as required by agency policy and/or insurance carriers).
  • Successful completion of all required pre-hire tests and proof of current TB test upon hire

Coordinate overall donor services

  • Process and record all donations (cash, in-kind and credit)
  • Send gift acknowledgements, pledge reminders and other donor correspondence
  • Provide donor acknowledgements within the required timeframe, using appropriate acknowledgements for different types of gifts, regularly changing general acknowledgements and proofreading merged acknowledgements
  • Manage donor mailing preferences.
  • Maintain and update donor information
  • Maintain secure records and personal information of donors and clients
  • Maintain auditable donor contribution and restricted funds records
  • Manage database coding system
  • Prepare fiscal and statistical reports
  • Prepare mailing lists for e-blasts, newsletters, appeals, etc.
  • Prepare donor lists for publications
  • Inform DOD or other members of the team when a gift or inquiry merits additional communication by development staff, CEO, trustee, etc.

Coordinate Volunteer Activity

  • Manage volunteer inquiries
  • Schedule volunteer activity
  • Work with maintenance and other departments to determine volunteer opportunities
  • Recruit, train, and supervise volunteers as necessary
  • Field phone calls and e-mails, answering individual donor questions and ensuring that appropriate staff are notified of each inquiry

Provide comprehensive event management support:

  • Perform general event planning and promotion
  • Manage event day registration/sign in process
  • Maintaining and reporting all online and mail-in registrations
  • Perform set-up and clean-up for each event
  • Order event supplies
  • Pick up and transport necessary items
  • Close out the event for final reporting

Provide general administrative support to the DoD and Development team:

  • Assist DoD with reporting, research and other tasks as needed
  • Order office supplies
  • Meter outgoing mail for department as needed
  • Maintain department vendor records
  • Maintain equipment service contracts, renewal requirements and manage related online accounts (Postage Meter and USPS Bulk Mail Account)
  • Manage online accounts and mail in prepared deposits
  • Process and maintain department check requests
  • Perform other administrative tasks as assigned.

Knowledge, Skills, Abilities & Personal Characteristics:

  • Knowledge and support of agency mission, goals, policies and procedures*
  • Ability to manage multiple projects simultaneously with excellent attention to detail
  • Ability to think creatively and to identify, research, and explore new possible initiatives
  • Excellent writing and editing skills.
  • Proficient in Microsoft Office Programs and knowledge of donor software management
  • Strong oral and written communication skills including spelling, grammar, punctuation
  • Business etiquette and good interpersonal skills with diverse audiences
  • Ability to complete tasks by a set deadline
  • Ability to represent the agency and its initiatives in a positive, friendly and knowledgeable manner
  • Ability to maintain appropriate and required confidentiality ensuring the integrity of sensitive information (written and/or verbal)
  • Ability to analyze problems and adjust activities or projects as needed
  • Ability to work independently

*May be acquired after hire.

  • Operate a computer and keyboard.
  • Physical capacity for frequent bending, stooping and lifting.
  • Ability to perform job responsibilities in a facility or residence with multiple levels and without elevators or mechanical transportation.
