Purpose of Job:

The Distribution Clerk is responsible for performing or assisting with a number of general administration functions within the Distribution Unit, which include the sorting and distribution of high volumes of mail, Bundl printed reports, maintaining the voucher filing system on site, registered mail function and the incoming and outgoing support processing for the distribution of parcels via couriers.

As a member of the Campus Operations team you will be responsible for contributing to the overall success of the unit by providing a high level of professional administrative and service support to our Global Operations partners while adhering to Bank security and operational procedures and policies.

Hours:

We have 2 vacancies available.

1) Monday to Friday 9am- 1pm

2) Monday to Friday 1:30pm-5:30pm

Key Accountabilities:

  • Accountable for the day-to-day accurate and efficient distribution and pick-up of mail for all departments in the Tahoe campus, as well as dispatching outgoing mail daily for shipment. This includes external (Canada Post and courier) mail, interdepartmental mail, courier items requiring signature, delivery of stationery, records etc.
  • Maintaining printer paper supplies in copy rooms throughout campus as well as removing empty printer consumables for recycling, empty boxes etc.
  • Maintaining the filing system on site for unit vouchers stored centrally in storage room
  • Operating equipment and performing loading dock operation, including receipt, logging and distribution of shipments and deliveries
  • Ensure service provided to customers is of the highest quality by ensuring that all service level commitments to customers are met or exceeded
  • Monitoring, tracking, and reporting of service volumes and trends to Manager
  • Contribute to efficiency of unit by ensuring corrective action is taken/recommended/escalated as appropriate
  • Maintain strict adherence to Bank policies and procedures by minimizing the Bank's expose to risk

Education and Other Requirements:

  • Minimum High School Diploma
  • Previous experience in an administrative mail room environment would be an asset
  • Working knowledge of applications ie Intralink, Microsoft Word, Outlook and Excel
  • Good communication and team focus skills
  • Time management skills, ability to use available resources on hand and able to handle the pressure of working within the service level agreements in a high-volume environment.
