Position Summary
The Property Manager is responsible for day-to-day service delivery of a portfolio of properties. The manager will handle a full property management caseload and has complete file responsibility and frequent contact with clients, homeowners, tenants and suppliers. This position is responsible for handling all aspects of property management including exception requests/needs. The manager will act as the single point of accountability and advocate for the homeowner. They will ensure programs are administered according to client’s policies/contracts. The manager will work independently and must be resourceful to propose expedient and cost-effective resolutions to homeowners regarding issues that occur throughout the course of an assignment. Must be able to establish and maintain good working relations with clients, homeowners, tenants and maintenance suppliers. They are also responsible for retention of their client base and maximizing revenues where possible
Responsibilities
The responsibilities of the Property Manager, Property Management include:
+ Management of Property: Responsible for day-to-day service delivery to the homeowner, as well as related property management policy and benefits counseling based on the assigned program policy and guidelines. Primary contact to the client, homeowners, tenants, field agents and maintenance suppliers in administration of the property management program. Responsible for pro-active communication to all parties associates with each property.
+ Transferee Counseling: Provide overview of the Property Management product and step-by-step instructions to transferees as they enter the Property Management process. Answer day-to-day questions about the policy and process and questions as they arise. Research and propose solutions for problem resolution to maintain customer satisfaction. Research and recommend policy and program changes, in cooperation with their Supervisor, as needed to enhance effectiveness of property management services. Research and propose solutions, in cooperation with their Supervisor, to complex problems to maintain customer satisfaction. Ensure all homeowners are notified annually of winterization requirements and obtain direction from homeowner. Follow-up on all homeowner acknowledgements for winterization services and ensure both tenant-occupied and vacant properties have services completed prior to seasonal weather. Communicate with homeowner any issues or repairs identified on an inspection report or ad hoc. Obtain homeowner written approval for any non-emergency repairs. Assist transferee in the exit process at the end of the property management cycle.
+ Tennant Management: Review, negotiate and recommend changes to lease agreements/addendums to the homeowner. Manage lease agreements in accordance with all federal, state and local statutory requirements, including the maintenance and disbursement of security deposit funds. Monitor lease expiration dates and ensure that all leases are renewed or re-listed in a timely manner. Manage any issues that arise with the tenant including repairs needed, non-payment of rent, eviction, and other issues as they arise.
+ Property Financial Management: Review and analyze homeowner and client operating statements for accuracy. Ensure homeowner has an understanding of all charges and receipts for the reporting period. Work with Dwellworks AP to supply all necessary information for payments and processing.
+ Supplier Management: Communicate and escalate, as necessary, performance related issues on field agents and maintenance suppliers. Monitor and provide system documentation relating to supplier performance. Ensure that all inspection reports, including photos if required, are submitted timely and forwarded to homeowner and/or client in accordance with client policy. Responsible for collecting all outstanding referral opportunities for referrals to local rental agents. Assist in recruitment of suppliers.
+ Data Integrity: Maintain and update the required communication systems on daily basis, (i.e. notes in database, documentation in shared drive, Outlook folder, etc) and maintain working file on each property under management to document all conversations and transactions. Generate and review file abstract reports on a weekly basis and make necessary corrections to data and/or escalate any concerns to the Director.
+ Quality: The manager will be involved with and should have a working knowledge of quality survey results and cost/revenue performance. Each manager will drive and achieve company determined metrics goals. This job contains individual will work with minimal supervision. Errors may cause financial loss to the homeowner, the client and/or Dwellworks.
+ Teamwork: Assist other team members as requested/needed. Assist in training new hires as requested/needed as a mentor for on-the-job training and employee development.
+ Client Reviews: Limited participation in client reviews and sales presentations.
+ Other Duties as Assigned: Assist/participate in projects/tasks as requested by management.
Qualifications
+ Minimum Requirements – A minimum of two years direct relocation, property management or real estate experience or one year tenure within the organization in a Client Service Operations role.
+ Preferred Experience - Bachelor’s degree or equivalent experience. Current real estate license. Global Mobility Specialist (GMS), Certified Relocation Professional (CRP) and/or Certified Property Management (CPM) designation.
+ Other Skills and Abilities- Excellent written and verbal communication skills are essential. Organizational skills, attention to detail, able to function as part of a team, ability to manage networks/suppliers, a self-starter, and quality focused.
+ Working Conditions- Standard office environment. Limited travel may be necessary. Attend client meetings as requested. Possible attendance at National and Regional Employee Relocation Council (ERC) meetings and conferences as requested.
